E-mail Marketing

Perfection of Africa manages its own mass mail software system. This allows us to offer this service to all existing and new clients who require email marketing. We are able to cost-effectively send e-mails to an uncapped number of recipients as many times as required. Through the system, we can manage all subscriptions, bounced mails and unsubscribes. This ensures that each client’s database is kept up to date with active contacts. Each product mailer is sent not only to the client’s database but also to the Perfections of Africa extensive database which consists of operators, agents, incentive houses, professional conference organisers, corporates and direct clients.

Public Relations & Media Administration:

Perfections of Africa will assist members in all aspects of marketing & media administration for the purpose of advertising, press releases, editorials, rates, etc. as per the marketing plan. Other services include brochure & website design consultation. Over the years we have established strategic relationships with various service providers such as graphic designers, website designers, printing companies, professional photographers and other strategic service providers who offer all our clients highly competitive rates.

Advertising

  • Assistance in compiling of an advertising plan for each individual client including travel trade, consumer and other trade magazines and/or newspapers.
  • Assistance in setting up an advertising budget for each individual client.
  • Setting up international media coverage.
  • Design of adverts where required.

Media Negotiation

  • Negotiating barter agreements for advertising and editorials in both travel trade & consumer magazines
  • Negotiating prize give-away and promotions in both travel trade & consumer magazines.
  • Negotiating any free editorial for each individual client in both travel trade & consumer magazines.
  • Negotiating for international coverage including press trips via SA Tourism

Internet

  • Ensuring listing on as many as possible free websites.
  • Development of a comprehensive web marketing strategy.

Tour Operators

  • Assistance with tour operator brochure inclusions, with regards to required material.

Public Relations

  • Assistance with organising promotional events i.e. breakfasts presentations, etc.
  • Attending association meetings and other relevant industry gatherings on behalf of properties.

Additional Services

These services are offered to our members and are quoted separately per service. Perfections Of Africa members receive bulk savings on these services because costs are shared with fellow members. As and when these services become available, all members will be given the opportunity to participate, the more members that participate the less the total cost per member becomes.

Services as follows:

  • Representation at relevant local trade shows and workshops e.g. Indaba Travel Trade Show, Spotlight on Africa, Game Lodge Destinations & Meetings Africa, domestic consumer shows
  • Representation at relevant international trade shows i.e. ITB (Berlin), WTM (London), ILTM (Cannes).
  • International and domestic road trips and workshops over and above trade shows.
Assistance with co-ordination of entire shows i.e. Indaba, Meetings Africa, ITLM etc. will include:
  • Assistance with the stand design & set-up including making up of banners, sourcing furniture, etc.
  • Inviting delegates and setting up of appointments.
  • Assistance in the design of Power Point presentations as and when required.
  • Media & other marketing pertaining to the show i.e. catalogue profiles, etc.

Reservations

The heartbeat of any hospitality establishment is an effective reservations office and systems.
We offer a fully operational reservation office for properties looking to maximise their sales and effectiveness and convert enquiries into sales.

Services offered:

  • Professional reservation consultant who will manage the reservation enquiries, provisional bookings, confirmations and all aspects thereof.
  • Set up and implementation of all reservations procedures.
  • Dedicated mail account to be supplied by the lodge.
  • Dedicated phone number for the lodge.
  • Set up and development of the reservations system. We have used Nightsbridge for a number of years and found it to be the most efficient system on the market. The monthly cost for the system is included in the management fee.
  • Weekly arrival and departure reports sent to the lodge management with all guests’ relevant information.
  • Invoicing and collection of outstanding payment for bookings.
  • Monthly reservation report showing source of business and turnover.
  • GDS (Global distribution system). Through Nightsbridge’s GDS system we are able to load the product onto over 40 website around the world and have real time availability for guests wanting to book. This booking link will also be added on to the product’s web page.
  • After office hours, the reservation’s office line is forwarded to a cell phone ensuring a 24/7 support for guests and the lodge.
